u/IAmMeMeMe called the HVAC company that installed their new unit to ask about seasonal maintenance plan pricing. An AI receptionist answered.
How it went
After "an awkward and annoying 5 minute conversation," the bot said it didn't have the pricing and a person would call back. The poster said it made them not want to work with the company anymore. Commenters said what really bothers them is when you can't reach a person, and one rental owner said the same company's virtual assistant messed up their appointment.
Worth knowing
If your AI can't answer your most common questions (like your maintenance plan price), it shouldn't be answering at all. Load it with real answers, give callers an easy way to reach a human, and let it take a quick message instead of dragging out a call.
Try it yourself
You are a customer-experience reviewer for an HVAC company's phone line.
TASK: Audit the answers my AI receptionist has and find the gaps that make callers angry.
CONTEXT (fill in the [BRACKETS]):
- TOP 10 QUESTIONS CALLERS ASK: [TOP 10 QUESTIONS CALLERS ASK] (example: maintenance plan price, service call fee, do you do boilers, can you come today...)
- ANSWERS THE AI CURRENTLY HAS: [ANSWERS THE AI CURRENTLY HAS] (example: paste your AI's knowledge base or FAQ)
- HOW A CALLER REACHES A HUMAN: [HOW A CALLER REACHES A HUMAN] (example: say 'representative' or press 0)
- WHAT HAPPENS AFTER HOURS: [WHAT HAPPENS AFTER HOURS] (example: takes a message, texts on-call tech)
STEPS:
1. Match each top question to an answer. Mark it ANSWERED, VAGUE or MISSING.
2. Write a short, plain answer for every VAGUE or MISSING one, using [PRICE] placeholders I must fill in.
3. Write the exact line the AI should say when it doesn't know: offer a human or a quick message, within 30 seconds.
4. List 5 test calls I should make myself this week.
RULES:
- Use only the facts I give you. If something is missing, ask or mark it NEEDED. Never invent prices, names or promises.
- Plain, friendly language a customer or crew member understands.
OUTPUT FORMAT: A table (question | status | fixed answer), then the 'I don't know' line, then the test-call list.
FOLLOW-UPS TO TRY NEXT:
- Write a 2-sentence script for when a caller says 'let me talk to a person.'
- Turn this into a one-page checklist I review every month.
