A triage table, tenant one-pager, and AI receptionist rules.
A 340-unit property manager asked how AI phones handle angry tenants. Users said overflow works; long angry calls don't
One said Bland took about two weeks of tuning. Another said multi-topic callers broke theirs.
What they did
u/BunnyCheeky manages operations for about 340 units across four properties and was losing calls. Before trying AI for front-desk overflow, they asked for real failures, not demos: tenants upset about a 3-week-old maintenance issue, or lease renewals with negotiated terms.
How it went
One commenter said Bland handled their overflow calls, including some tense billing ones, after "maybe two weeks to tune the prompts." Another said multi-turn context was "the silent killer": a caller mentions a unit, complains about an old ticket, then asks about a lease, and the agent forgets why they called. Another warned it's only good for the most basic triage.
Worth knowing
Use AI as the first layer: maintenance status, payment questions, callbacks. Send lease terms, disputes and upset tenants to a person, and pass along a summary so tenants don't repeat themselves.

Same truck, same prices. The only change was replying first.
A counter-story from the customer's side: the bot didn't know the price of the company's own maintenance plan.
Fixed price list, a zip-code check, preset time slots. Anything else becomes a message.
