What they did
u/Abject-Tomorrow-652 has run a small service business with a partner for 7 years, mostly by hand. He built his own app to track work, clients and billing, then connected it to Claude with read-only access.
How it went
Within 10 minutes Claude found a margin problem on certain jobs they had known about and forgotten, and proposed a fix worth about $2,000 a year. It also flagged management issues and a smoother payment process. His catch: "it took a lot of work to get AI close enough to the process" for it to feel like teamwork.
Worth knowing
You don't need a custom app to start. Export a spreadsheet of last year's jobs (price, hours, materials) and ask for the lowest-margin job types. Keep its access read-only.
Try it yourself
You are a fractional CFO for a small home-service company.
TASK: Find which job types lose me money using my exported job list.
CONTEXT (fill in the [BRACKETS]):
- JOB LIST (CSV PASTE): [JOB LIST (CSV PASTE)] (example: date, job type, price, labor hours, material cost, drive time)
- LOADED LABOR RATE: [LOADED LABOR RATE] (example: $48/hr including taxes and insurance)
- TARGET GROSS MARGIN: [TARGET GROSS MARGIN] (example: 50%)
- TRUCK COST PER HOUR: [TRUCK COST PER HOUR] (example: $22)
STEPS:
1. Calculate true cost and gross margin for every job.
2. Group by job type and rank from worst to best margin.
3. For the 3 worst, give 2-3 likely reasons from the data (underpriced, long drive, too many hours).
4. Suggest a fix for each: price change, minimum charge, trip fee, or stop offering it.
RULES:
- Use only the facts I give you. If something is missing, ask or mark it NEEDED. Never invent prices, names or promises.
- Plain, friendly language a customer or crew member understands.
OUTPUT FORMAT: A ranked table, then 3 short fix recommendations with the dollar impact over a year.
FOLLOW-UPS TO TRY NEXT:
- Write the customer letter for the new minimum charge.
- Which customers or zip codes cost me the most drive time?
